CNAR is growing quickly to better meet the needs of its nationwide community. We are currently recruiting for an Operations Coordinator. This is a full-time, work-from-home position, open to applicants from all across Canada.


Operations Coordinator

The Role


The Operations Coordinator reports to the Executive Director (ED), supports day-to-day partner and member-related services for the organization, and is responsible for providing administrative support for CNAR’s programs, annual conference, and other special projects. This is a remote position.


As our ideal candidate you’re a developing administrative/operational professional with experience in a membership-based organization, exceptional attention to detail and ‘can-do’ attitude. You’re a jack- or jill-of-all-trades with the breadth, independence, and technological savvy to master a wide range of administrative tasks and play a key role in streamlining our operational processes.

Main Responsibilities:


Operations:

  • Analyze organizational processes to improve quality, productivity, and efficiency of CNAR operations.

  • Work with staff to continuously improve IT investment and policies necessary to ensure legal compliance (e.g., data privacy policy, records policy).

  • Billing/invoicing/accounting coordination as required in support of members, partners, event registrants.

  • Maintain member management system and portal. Assist with website and social media tools as required.

  • Maintain 100% accuracy on data entry into system.


Member Services:

  • Support the day-to-day partner and member related operations.

  • Administrative/registration support for programs, conferences, webinars, and other initiatives.

  • Enable a smooth member and partner yearly renewal process.

  • Establishes and maintains a customer satisfaction feedback process with follow up and call back procedure while sharing appropriate feedback with senior management.

Reporting:

  • Prepare reports and briefs for Operational Committees (Education/Conference).

  • Create and manage operational calendars and status reports.

  • Attend weekly status meetings/calls.


Skills and Experience:

  • Diploma and/or certificate in Business Administration or related office experience required.

  • 3+ years of administrative/operational experience. Experience obtained from an association-based organization considered an asset.

  • Strong knowledge of administrative process and procedures; proven experience in improving processes and procedures.

  • Tech-savvy - Intermediate software and systems knowledge (member management systems, websites such as WiX/WordPress); Microsoft Office; virtual conferencing.

  • Understanding of data privacy and data management.

  • Bookkeeping experience considered an asset.

  • Strong attention to detail, all work accurate and performed to a high standard.

  • Excellent organizational skills and exceptional client service skills.

  • Bilingual (French/English) considered an asset.
